Power BI Desktop is Microsoft’s powerful data analysis and visualization tool that enables you to transform raw data into interactive dashboards and reports. Whether you're working with Excel, databases, or other sources, Power BI provides a user-friendly way to analyze and share insights across the organization.
Step 1: Install Power BI Desktop
To begin using Power BI:

Download Power BI Desktop from the Microsoft Store to ensure auto updates. Please note, Power BI Desktop is not available on Mac OS. However, you can still use the web version of Power BI.

Once Downloaded, submit the software for approval through AdminByRequest

IT approval is required before installation

You will receive an email notification once the installer is approved and ready to run

Install and launch Power BI Desktop
Step 2: Get Familiar with the Interface
When you open Power BI Desktop, you’ll see several key areas:
- Ribbon – Access tools for data import, modeling, and visuals
- Report Canvas – Build and arrange your report visuals
- Fields Pane – View and select your data fields
- Visualizations Pane – Choose and configure charts
Take a few minutes to explore the layout. It’s designed to be intuitive and flexible.
Step 3: Bring in Your Data
One of the most common starting points is Excel:
- Select Home > Get Data > Excel
- Choose your file
- Select the table or worksheet
- Click Load
Power BI allows you to connect to many data sources beyond Excel, including databases, web data, and cloud services.
Step 4: Clean and Transform Your Data
Before building visuals, you may need to prepare your data:
- Select Transform Data to open Power Query
- Common tasks include:
- Removing unnecessary columns
- Filtering rows
- Adjusting data types
- Click Close & Apply when finished
Clean data ensures your reports are accurate and meaningful.
Step 5: Build Visualizations
To create your first report:
- Select fields from the Fields pane
- Power BI automatically generates a visual
- Use the Visualizations pane to change chart types
- Customize by dragging fields into Axis, Values, or Legend
You can add multiple visuals to tell a complete story with your data. You also want to keep Accessibility in mind as you are creating reports or dashboards
Use Copilot Chat as Your Support Tool
As you explore Power BI, you don’t have to figure everything out on your own.
Sign into Copilot Chat outside of PowerBI to:
- Ask how to perform specific tasks (e.g., “How do I create a measure?”)
- Troubleshoot errors
- Get explanations of Power BI concepts (DAX, relationships, visuals)
- Generate ideas for dashboards or visualizations
This can significantly reduce the learning curve and help you become more self-sufficient as you build reports.
Step 6: Save and Share Your Work
Once your report is ready:
- Save it locally
- Select Publish to upload it to the Power BI Service
- Choose a workspace to share with others
