VIDEO TUTORIAL: Employer Verification of Form I-9 in IE
I-9 verification is done directly through Interview Exchange/Hirezon in the onboarding packet.
Departments are responsible for ensuring verification of the I-9 Form for new student hires NO LATER THAN 3 DAYS AFTER THE FIRST DAY OF WORK. There are no exceptions to this requirement. Note: HR will coordinate the I-9 verification process for new contract staff. Ensure that the employee responsible for verifying the I-9 Forms has received training in the accurate completion of the form.
Steps:
- The student employee must complete their section of the I-9 Form in the onboarding packet prior to the department verifying the I-9 Form.
- I-9 Verification requires IN ALL CASES that the FSU authorized representative view the required identification IN PERSON. There is no exception to allow the remote viewing of documents.
- The I-9 Verification Task in the onboarding packet must be completed by the FSU authorized representative at the same time that they are physically verifying the acceptable documents.
- VERIFY ACCURACY OF ALL ENTRIES ON THE I-9 FORM BEFORE SUBMITTING, INCLUDING:
- Student's legal name is used on the form and matches the provided verification documents.
- All required fields are completed, including those that required "N/A" if no data exists.
- The first date of work is accurate.
- Framingham State University is listed as the employee and the address is 100 State Street, Framingham, MA 01701-9101
- All signatures are followed by the date on which the party signed the form and not an alternate date such as a birthdate.
- When the I-9 Verification is completed electronically in the onboarding packet, it is not necessary to make or retain a photocopy of the acceptable documents.
