VIDEO TUTORIAL: Creating a New Onboarding Packet in IE
Steps:
- Log in to Interview Exchange using the link on the HR & Payroll page on myFramingham (or https://sso.interviewexchange.com/framingham/sso.jsp and log in using your FSU credentials)
- Select Onboarding/Contracts
- Select +Start New Packet
- Enter Title, Name, Email, and Department
- Select the appropriate packet template from the drop down. Only select from packets 1-3. These are the only packets issued directly by departments.
- Enter the employee’s Start Date at the top of the page. The Start Date should be planned to allow enough time for paperwork completion, including I-9 verification. We recommend beginning this the onboarding process at least one to two weeks in advance of the Start Date.
- You may edit the Instructions to New Hire if you need to. Be sure to click Save Message after.
- Assign any Unassigned tasks. To assign the task to the appropriate person, click on Unassigned and begin typing the name of the new assignee. Select the assignee and Save. Note: Tasks may include multiple Forms.
- Department Contract Originator is the person who will complete the fields in the Standard Contract Form, Contract Addendum, and Employment Status Form
- Vice President is the division Vice President and only authorized signatory for the contract
- For new student hires, you must also assign someone to complete the I-9 Verification. This may be the same person as the contract originator or another employee/authorized representative of FSU. That person must be trained in the accurate completion of the I-9 form.
- Add Routing next to Department Contract Originator to Complete section. Click on Routing. You will see Manager followed by a blank space for the user name. Click on the Edit icon next to that row, type the name of the department/contract manager in the User field, and click Save. Routing is an approve/deny function only which ensures the department/contract manager has reviewed the contract for accuracy.
- You can now Publish your packet by selecting Publish at the bottom of the page.
- It is highly recommended that the department also send a Warm Up Email to the employee informing them that they will receive an email from Interview Exchange requesting they complete pre-employment tasks online. This ensures the employee will recognize and trust the email as well as respond promptly.
