Leaving FSU? Make Arrangements for your Digital Assets and Learning Materials

On an employee's last day with an organization, they typically clean up their office, taking some items with them, and leaving instructions for their colleagues. The same thought should be given to one's "digital learning spaces." The following is a list of suggestions for faculty who are planning to end their employment. These steps may not be required or appropriate for every situation. Please contact your department chair, dean, or Human Resources if you have questions about rights or obligations regarding digital assets.  

Canvas

  1. To take Canvas course material with you: download material (such as individual files) from your Canvas courses and/or export the entire course (How do I export a Canvas course?). With an exported course package, you will be able to import it into Canvas at another institution (or use a Canvas Free-for-Teachers account), or most other Learning Management Systems (such as Blackboard, D2L, etc.). Canvas course exports will not include:
    • student data (rosters, grades). if you expect to need those, download them separately (How do I export grades in the Gradebook?). 
    • Content created through connected apps such as Panopto (see below), Voicethread, or publisher apps (Pearson, McGraw-Hill, Cengage, etc).
  2. If you would like your department colleagues to be able to use any of your material after your departure, share course material to Canvas Commons (How to Share Canvas Course Material using Canvas Commons).
  3. If you manage a non-academic Canvas site (such as a departmental or student club/organization site), designate an individual to take over that duty. Notify that individual and, if necessary, add them to the course with the appropriate role, or request that ETO do that for you (eto@framingham.edu)

Qualtrics

  1. Export the results of your surveys (to CSV, SPSS, etc): Qualtrics Export Data Overview. At present time, this must be done one survey at a time.
  2. To export the survey itself (the questions), you have 2 options:
    • Export .qsf file. This file can only be opened in Qualtrics. It can be imported into Qualtrics when you next set up a Qualtrics account, either at your next institution or a personal account. This includes free Qualtrics accounts. See Exporting a Survey as a QSF for instructions.
    • Export questions to Word (Exporting a Survey as a Word Document)
  3. Request transfer of ownership of surveys from ETO (email eto@framingham.edu). Transferring ownership is different from adding a collaborator to a survey. If you have already added collaborators to your surveys, they will still be able to access and edit them, but the one function they cannot do is add additional collaborators. Only the owner can do that. So for a survey that you expect others to use in the future, it is important to request a transfer of ownership.
