These steps cover the full setup of the portfolio across three separate systems.
Login or Setup Google Account:
- Create or login to an existing Google Account that is dedicated to your school/professional work (not the account that has all your personal photos and connected to your television, for example).
Google Drive Setup:
- Go to the Google Drive associated with that account (drive.google.com)
- Create a folder for all documents, photos, or other files that should go into your ePortfolio: Click the +New button at the top left, then select "New Folder" from the drop-down menu. Name the folder "Source Materials for ePortfolio"
- Share that folder with “anyone with the link can view” permission (How to Share Folders in Google Drive)
- Place any already-existing documents/images/etc that will be in your portfolio into that folder (continue to add here for any new item you wish to put in your ePortfolio site)
- Videos should go in YouTube not in Google Drive. Other video streaming services are also appropriate, but videos are best placed in streaming servers to preserve the best playback experience.
Google Site Setup:
- Click on the link for the template for the program you are enrolled in (under '"Template" Google Sites for Nursing Programs' below). It will open up in Google Drive folder with two documents: a Google Site file (purple icon with the word TEMPLATE in the file name), and an instructional document. Before proceeding further, make sure you are logged into the right Google Account.
- Make a copy of the Google Site File: Click on the More Menu (3 dots) to the right of the Google Site file (Purple Icon, with the word TEMPLATE in the filename), then select “Make a Copy” from the dropdown menu. A copy will be made at the top level of your Google Drive, not this folder that you are currently in.
- To find your site: navigate to https://sites.google.com/. You should see one site with the filename "Copy of TEMPLATE..." Immediately change the filename by clicking on the More Menu (3 dots) for the site file (or right-clicking on the file) and selecting "Rename" from the drop-down menu. Give your site a name like "John Q. Nurse's Portfolio."
- Click on your site to open it. Immediately delete any placeholder text and begin adding content. Remember that you will not be able to upload files directly. The files must be added to the Google Drive folder associated with the ePortfolio project before they can be added to the site.
Share your Site
- Once content has been added, Publish your site: Click the "Publish" button at the top right.
- The first time you Publish, you will be invited to define the web address for the site. The URL for all Google Sites will start with "sites.google.com/view/." You will be defining what comes after the "view/". It is recommended that this part of the URL include some form of your name. Example: "sites.google.com/view/jsmithportfolio"
- Also, you will be asked to define "Who can view my site." Click "Manage" to open these settings. Alternatively, these settings can be adjusted at any time by opening the Share settings for the site: click on the Share icon at the top right (Person with a Plus sign). Under "General Access" set Published site = "Public." Draft can be left as "Restricted" (See Publish & share your site).
- To get a shareable link (for submitting to your professor, or sharing with a viewer): click on the link icon at the top right of the page (oval with horizontal line in the middle). There is also a "Copy published site link" button in the Share settings. Don't forget, the shareable link URL will be: "sites.google.com/view/[web address name]," where "web address name]" is whatever you set in Step 2 above.
Turning in your Assignment in Canvas:
- Get a sharable link for your site (see above)
- Go to your Course in Canvas
- Find the Assignment where your teacher has asked you to turn in this work
- Paste the link (the one you obtained in step 11) into the box provided
- Submit

Students should copy the relevant site to their own Google Sites account and rename their own copy so, as referenced in the initial training video. NOTE: you will not be able to open the links below unless you are logged into a Google account. Ensure that you are logged into the correct account.
