Throughout June, ITS hosted a Teams Introductory Workshop, providing you with the essential tools and techniques to effectively communicate and collaborate. It ran twice a week from June 16th through July 2nd. This knowledge article is to provide the resources that were covered during this training, specifically the demo portion. You may also find the PowerPoint attached to this knowledge article, which goes over the introduction to the workshop.

*Note* We recommend using the Teams application over using the web version. Using the application allows you to pin it to your Windows task bar, or Mac doc which allows an easier start and use. Additionally, if you use the browser version, it will prompt you to allow certain things (such as using the Camera or Microphone), which if the prompt is ignored or denied, then you need to go into the browser settings to fix.

Meeting Settings

If you are the meeting's organizer, your menu will appear as above in the image. If you are a Zoom user, you will notice Teams has a lot of the same settings. Here is a list of the meeting settings:

  • Chat: Instant message the participants of the meeting
  • People: View and add participants
  • Raise: Alerts the organizer that you have a question or comment
  • React: Use one of the emojis to silently show your reaction
  • View: Change the view of the participants on the meeting
  • Rooms (Organizer only): Break out the participants into separate rooms
  • Apps: Integrate apps into your meeting
  • More: Find more settings such as Record, Video effects and settings. Language and Speech (this is where you can enable Closed Captions), and more Settings
  • Camera: turn off or on your camera. You can also change between devices if you have multiple cameras. You can also change your background here
  • Microphone: Turn off or on your microphone. You can also change between devices if you have multiple speakers or microphones. 
  • Share: Share your screen or a window on your computer. Sharing your screen will introduce more options, which you will find below

Screen Share Options

While you present, use the presenter toolbar controls to keep your presentation engaging and running smoothly. The toolbar is only visible to the person presenting.

To bring the presenter toolbar onscreen, move your cursor to the top of your shared screen. This will drop down the toolbar.

Application Settings

You will find the Teams application settings at the top right side of your window under the three- dot icon.

From here you have many options you can adjust such as the appearance, how notifications show up, devices, etc.

IT TIP: Under Appearance in the Layout section, use the List layout versus the Grid layout. This will make it easier to view all of your Teams groups.

Your Toolbar

The toolbar is the icons that show vertically on the left side of your Teams window. These can be customized based on your needs, but you will likely see the following and what they do.

  • Activity- Notifies you of recent activity​
  • Chat- Chat with individual colleagues or make chat groups​
  • Teams- Create groups for document collaboration, posts, channels, etc.​
  • Calendar- Your Outlook calendar​
  • Calls- Can make calls or view call history​
  • OneDrive- Your OneDrive account​
  • Copilot- Microsoft's AI tool
  • Three-dot Icon- Allows you to quickly add apps into your Teams Toolbar
  • Apps- More Apps you can add

Please note- Third party apps will also show in the Apps section. FSU may or may not have licenses for these applications. Additionally, You may need to request permission from IT if you would like to add any. Teams will walk you through it if applicable.

Activity

The activity feed is a summary of everything that's happened across Teams, from chat and channel @mentions to meeting invites and cancellations.

  1. Select Activity 

    Activity button in the top left of Teams to view your Activity feed.
  2. Select More Filters  

    Meeting options icon at the top right corner of the feed. Enter names or keywords to find specific messages.
  • Select the Unread button to view only unread messages and items.

  • Select More options 

    Microsoft Teams more options icon to mark all notifications as read, or to access notification settings.

 

When a red circle appears next to Activity 

Activity button, you have a notification in your feed. These notifications remain in your feed for 30 days. After that they expire and no longer show in your feed.

Chat

 

Use Microsoft Teams to chat online with your colleagues. 

Start a chat with another person

  1. Select New message 

    New chat iconat the top of your list of chats and channels.
  2. Enter a person’s name.

  3. Compose your message in the box at the bottom of the chat.

  4. To open formatting options, select Format 

    Expand button to the right of your message.
  5. When your message is ready, select Send 

    Send a message icon. or press Enter to start the chat.

You can also start a one-on-one chat from someone's profile card. Open it by choosing their picture in a channel or finding their name using the Search box.

Teams Groups

To get your team up and running in Microsoft Teams, create a team, add people, and add channels.

Calendar

With the Calendar tab in Teams, you will be able to view your Outlook calendar. From here, you can also easily Join or Create meetings.
