Remediating a Scanned/Untagged PDF with Yuja Panorama

What is an Untagged PDF?

An untagged PDF lacks the underlying structure, metadata and/or markup that defines the document’s elements and their relationships. Without tags, the content within an untagged PDF is essentially a collection of visual elements. In the most extreme case, even the the text is not recognized as text and is instead interpreted as an image. In this case a user would not be able to use assistive technologies such as screen-readers or text-to-speech, or even to highlight the text. In other cases, text may be recognized but the metadata required to determine the reading order of the text elements is missing. The two most common sources of untagged PDFs are: scanned documents and files generated using the print-to-pdf function.

A scanned and/or untagged PDF will usually receive a 0% accessibility score in Yuja Panorama.

How to Remediate an Untagged PDF with Yuja Panorama (Overview)

The process for remediating an untagged PDF with Yuja Panorama is the same regardless of how you access Panorama (see Accessing Panorama below). Unlike with many other document types, the remediation process for untagged PDFs is a 2-step process:

  1. Generate an OCR (Optical Character Recognition) Formatted PDF from the Alternative Formats menu
  2. Replace the original with the OCR version, and run an accessibility check on that version

Generate OCR Format

  1. Open the Alternative Formats menu for the file. If you're not sure how to get to this menu, see Accessing Panorama below
  2. Click on OCR Formats. This will open a second menu
  3. In most cases, OCR Overlaid PDF will be the best option. This format will add tags without changing how the PDF looks at all. To learn more about the OCR format options see: Accessing the Panorama Alternative Formats Menu.
  4. It may take up to 10 minutes for the PDF to be generated.

Replace and Remediate

  1. Click "Back" to return to the Alternative Formats menu. Or, reopen the Alternative Formats Menu if you have navigated away from the file.
  2. Click on the Accessibility Report at the top of the Alternative Formats menu (note: the Accessibility Report is visible to Instructors only)
  3. Scroll to the bottom of the Report to find the "Update Document" section. Click on the More Menu (3 dots) in the grey section header, and select "Replace with Alternative Format" from the drop-down menu
  4. From the pop-up window, select the OCR format version you would like to swap in, and click "Replace." It may take a few minutes for the document to update.
  5. Now, you will see a new Accessibility Score (hopefully higher than zero!) and you can begin going through the "Review Issues" section.
  6. For some issues, you will be able to click "Fix Issues" and remediate the issue in-line. See Accessibility Issues that Can be Fixed with Panorama for a list of PDF issues that can be remediated inline. Please note: FSU only has access to the Full-Circle remediation features. Click "Fix Issue", then you may be able to make a fix right there, such as adding a document title. Click "Add Fix" and proceed to next issue.
  7. After adding Fixes, you will proceed to a Review screen (you may need to click "Skip to Review" if you are not going to remediate all issues). On the review screen, click "Apply Changes"
  8. Other issues will not be able to fixed within Panorama. For those, you may see a "Learn More" link which will provide guidance on how to remediate the document using a different platform, such as Adobe Acrobat. Finally, some issues may not be issues at all, but may actually just require a manual check (for example: reading order of elements on a PDF). This manual check usually cannot be done in Panorama. The user is expected to open the document in a different platform, perform the check, and then check the "Verify" box in Panorama to resolve the issue.

Accessing Panorama

There are several ways to get to the Alternative Formats menu for a PDF document.

In Canvas (Panorama Accessibility Icon)

Wherever you are in Canvas (Modules, Pages index page, Assignments index page, etc), you will see red, yellow or green Accessibility Icons next to the name of every item. Click on that icon to open the Alterternative Formats Menu for that item.

In Canvas (From Course Report)

  1. Click on Panorama in the Course Navigation Menu
  2. The Course Report should immediately open. If it doesn't, navigate to Reports (Line graph icon)>Course Report (book icon) in the lavender left-side navigation menu.
  3. In the Course Report, scroll down to the Files and Issues section. Highlight the "Files" tab to view a list of files.
  4. Find the document in question and click on the score (gauge icon) to open the Alternative Formats menu.

In Doc Hub

Users can access the DocHub, for checking and remediating individual documents, via Panorama in Canvas, by logging in to Panorama via SSO (https://framingham.panorama.yuja.com/), or via the Equalground platform.

  1. Open DocHub by clicking on the document icon at the top of the lavender left-side navigation menu in Panorama (or Equalground).
  2. Upload the document if it is not already there
  3. Click on the document to open the Alternative Formats Menu.
