Academic Program Administration

Overview

The University’s Information Technology Services (ITS) organization provides administrative, technical, and consultative support for information systems that support the planning, development, delivery, and management of academic programs and courses. These systems support core academic administration functions including curriculum management, catalog management, syllabus management, course scheduling, faculty workload planning, transfer credit evaluation and management, and other academic planning and governance processes.

Academic Program Administration systems are used collaboratively by Academic Affairs, Enrollment Management, academic departments, faculty governance bodies, and other administrative offices to support the lifecycle of academic programs and courses from proposal and approval through delivery and ongoing review.

Examples of technologies within the scope of this service offering include Coursedog curriculum, catalog, syllabus, scheduling, and faculty workload management solutions, Parchment transfer credit evaluation and management solutions, and other institutionally supported systems used to support academic program administration.

ITS responsibilities that are within the scope of this service offering include:

  • Providing essential technological infrastructure, including network connectivity, authentication, and hosting services.
  • Supporting implementation, configuration, integration, and ongoing technical administration of academic program administration systems.
  • Facilitating data integration with Banner and other institutional information systems.
  • Providing security oversight and ensuring compliance with University information security policies and standards.
  • Assisting with troubleshooting technical issues and coordinating support with third-party vendors.
  • Supporting system upgrades, testing, and implementation of new functionality.
  • Providing consultation regarding system capabilities, workflows, reporting, and best practices.

Academic Affairs, Enrollment Management, and designated functional offices are responsible for:

  • Academic policy administration and governance processes.
  • Curriculum development, review, and approval workflows.
  • Catalog content management and academic policy documentation.
  • Course scheduling decisions and academic planning activities.
  • Faculty workload policies and operational practices.
  • Transfer credit evaluation criteria and decisions.
  • End-user support, training, and documentation specific to academic business processes.
  • Establishing and maintaining data accuracy and quality within the systems.

While ITS provides foundational technology, integration, security, and technical administration support, the functional administration and day-to-day management of academic program administration processes remain the responsibility of the designated academic and administrative offices.

  • Designated full-time and part-time faculty members.
  • Administrative and support staff responsible for academic program administration functions.
  • Department chairs, program coordinators, deans, and designated academic administrators.
  • Graduate assistants and student employees authorized to support academic administration functions.
  • Other authorized users as approved by Academic Affairs, Enrollment Management, and Information Technology Services.

Eligibility for support may vary depending upon the specific system, assigned role, level of access, applicable University policies, and the responsibilities delegated to the requesting individual.

  • Facilitates integration with Banner and other institutional systems.
  • Ensures secure administration and management of institutional data.
  • Supports compliance with University policies and industry best practices.

Vendor and Technology Management

  • Provides coordinated management of system updates, integrations, and vendor relationships.
  • Facilitates issue resolution through collaboration between functional offices, ITS, and third-party providers.

 

Prerequisites

Eligibility Verification: The requestor must be an authorized faculty member, staff member, or administrator with a legitimate business need.

Appropriate Functional Involvement: Requests involving academic policies, curriculum decisions, scheduling decisions, workload determinations, or transfer credit decisions should be reviewed by the appropriate functional office before being submitted to ITS when appropriate.

Request Scope: The request must fall within the scope of system administration, integration, technology support, training, reporting, consultation, or related support services.

Compliance: Requests must comply with University policies, procedures, governance requirements, and applicable legal and regulatory obligations.

Submission Method: Requests must be submitted through the University’s approved service management channels.

Fulfillment Target

For incidents and requests related to Academic Program Administration systems, Information Technology Services aims to achieve the following service targets:

Initial Response Time: Within 4 business hours of receiving a support request, ITS will acknowledge the request and provide an estimated timeframe for resolution or fulfillment.

Resolution Time: ITS strives to resolve incidents and fulfill routine support requests within 2 to 5 business days. More complex issues, integrations, enhancement requests, workflow changes, vendor-related matters, and implementation activities may require additional analysis, planning, testing, and coordination with functional offices and third-party providers.
